You were caught totally unprepared for this event. More disappointing was that you kept making excuses for your failures and didn’t seem to care that guests were frustrated, angry, and ready to ask for a refund. You should be embarrassed by your performance! As a retired Operations Management Consultant I’ve taken the liberty to put a rudimentary ops plan for you…free of charge. Implement these suggestions and as you gain experience, adjust them to increase efficiency. This is our second time doing Moonlight Kayak with you and since we really enjoy this activity, we probably will give it another chance next year. I sincerely hope you implement these suggestions by then. Thanks! Julio and Jami 48 Hours Prior - Confirm reservations by sending out email requesting the liability release form. This serves two purposes; you have a legal document releasing you of liability, and it gives you a final count of attendees. 24 Hours Prior - Reach out to those who have not completed the release form informing them that they will have to fill out the form in person thus delaying their experience. This gives you a final count. Day of Event - Print out the names of each guest on a sheet with their type of kayak and any special needs. 2 Hours Prior - Arrive at the lake and prepare the equipment. - unload the kayaks. - wipe down/attach seats. - attach lamps. - place oars inside. - inspect all the equipment. - stage ALL the equipment on the ramp. - attach sheet with guest names on each kayak. Guest Arrival - Host checks in guests, ensures they have a release properly filled and signed. If not, ask them to step aside to complete the form. - Confirm numbers in party and hand each guest a life vest. - Instruct guest to find their kayaks, put on/store their vests, and prepare their own kayak for the event. Stand next to their kayak and signal when they are ready or raise their hands with questions. - Have one (1) staff member assisting guests with questions/equipment issues, checking release forms, etc. - Have two (2) staff members attending to guests who are ready by doing a final inspection, carrying and launching the kayak. - Once all guests have checked in, Host assists the other staff as needed. Once all kayaks launch - Take a break. - Put away unused equipment. - prepare for recovery. Recovery - Assist guest getting out of the kayak - Confirm they have all theirs personal belongings. - Remove equipment, clean and put away. - Host thanks them for coming and gives them a coupon for 10% off their next experience.
